What the record adds up to
- SimplePay scores higher overall, 9.0 against 7.8. The reason behind a point of difference matters more than the point itself.
- SimplePay is ahead on everyday use, depth of features, value for money, support and skills and south african fit.
- Sage HR is not published on a basis that can be set beside the other price, so the two cannot be subtracted honestly. Read the plan notes instead.
- On South African fit SimplePay is the stronger of the two. Built for SARS and the local tax year rather than localised afterwards.
Scored side by side
Where the difference actually sits
| Dimension | Sage HR | SimplePay | Our view |

| Everyday useSimplePay: Plain and fast. A payroll run is genuinely a short task. | 8.6 | 9.1 | SimplePay |
| Depth of featuresSimplePay: Focused on payroll and leave. It does not try to be an HR system. | 7.8 | 8.2 | SimplePay |
| Value for moneySimplePay: Per employee with no licence fee, so cost tracks the size of the payroll. | 7.4 | 9.0 | SimplePay |
| Support and skillsSimplePay: Support has a strong local reputation and it is earned. | 8.0 | 9.2 | SimplePay |
| South African fitSimplePay: Built for SARS and the local tax year rather than localised afterwards. | 7.2 | 9.6 | SimplePay |
Every score is our editorial judgement and the reasoning sits in the full review. A gap under two tenths is called line ball, because it is not a difference worth acting on.

Sage HR
Priced per employee per month, with leave, performance and scheduling licensed as separate modules. A free trial is offered but the length is not published. Two things drive the real cost. Switching on several modules multiplies the per employee rate, and the per employee model means the bill grows with hiring. Price the module combination you will run in a year, and confirm exactly how leave balances reach your payroll before you buy.
SimplePay
About R235.50 a month excluding VAT for ten employees, which works out near R23.55 per employee. The rate falls as headcount rises and there is no licence fee, so the cost tracks the size of your payroll rather than a plan you have to guess at in advance. A free trial is offered but the length is not published, so ask when you sign up. Practices running client payrolls should request a bureau quote rather than paying per company.
Capability
What each one actually does
The capabilities we tested in each review, written out rather than reduced to ticks in a grid. A tick tells you a feature exists. It does not tell you whether it is any good.
Sage HR
- Leave management
- Requests, approvals and balances with a shared calendar, which ends the recurring argument about who is off and how many days remain.
- Employee database and documents
- Contracts, identity documents and qualifications stored against the employee record with expiry reminders, which helps considerably at audit time.
- Performance reviews
- Structured review cycles with goals and feedback, aimed at businesses running their first formal performance process rather than at large enterprises.
- Shift scheduling
- Rosters and shift planning for teams that are not desk based, with the schedule visible to staff on their phones.
- Expense claims
- Claims submitted with a photograph of the slip and routed for approval, replacing the envelope of receipts that arrives at month end.
SimplePay
- PAYE, UIF and SDL
- Statutory calculations maintained against the current tax year, including the mid year changes that catch out spreadsheet payrolls.
- SARS e@syFile integration
- IRP5 and IT3(a) certificates export in the format e@syFile expects, which turns reconciliation season into an afternoon rather than a week.
- Employee self service
- Staff retrieve their own payslips, submit leave and update banking details for approval. That removes the most common interruption in a payroll administrator's month.
- Leave management
- Annual, sick and family responsibility leave are configured to South African statutory minimums out of the box, with room for your own policy on top.
- Accounting integration
- Posts the payroll journal into Xero and QuickBooks directly, which removes the monthly manual journal and the errors that come with it.

Getting it running
Setup, and who answers when it breaks
Sage HR
What it takes to start
Quick for leave, longer for the rest. Importing employees and configuring leave policies takes a day. Performance cycles and shift scheduling take longer because they encode how you actually manage people, which usually needs a decision rather than a setting. The integration to your payroll should be tested before you rely on it.
When something breaks
Online support and documentation, at a global rather than local level. There is no South African payroll behind it, so questions about PAYE go to whichever payroll you run alongside. That split is worth understanding before you buy, because it decides who you call when leave and pay disagree.
SimplePay
What it takes to start
One of the easiest payroll migrations in this market. You capture employees, opening year to date figures and leave balances, and the product checks the arithmetic as you go. A small payroll is live in an afternoon. Do the first run in parallel with your old system for one cycle, which is standard practice and catches the leave balance errors that always appear.
When something breaks
Support is the reason many bookkeepers stay. It is local, it is staffed by people who understand South African payroll, and the answers are specific rather than scripted. Free online training is included. For a payroll product that matters more than any feature, because the questions arrive at month end and cannot wait.
Strengths and limits
Where each one gives ground
Sage HR
- Clean self service that employees actually use
- Modular, so you can start with leave and add performance later
- Mobile app suits teams that are not at a desk
- It is not a South African payroll engine, so you still need one
- Module pricing adds up once you switch several on
- Reporting is lighter than a full HR information system
SimplePay
- IRP5 and IT3(a) certificates export in the format e@syFile expects, which shortens reconciliation season
- Priced per employee with no licence fee, so the cost follows the size of your payroll
- Employee self service removes the most common interruption in a payroll administrator month
- It is payroll and leave, not an HR system, so performance and recruitment need another tool
- A free trial is offered but the length is not published, so you have to ask
- Above five hundred employees or as a payroll bureau you need a separate quote
Local view
How each one behaves in South Africa
Sage HR
Treat this as the HR layer, not the payroll. It pairs sensibly with Sage Payroll or a local payroll bureau. Before buying, check how leave balances flow into your payroll run, because a manual re key every month removes most of the benefit you are paying for.
SimplePay
This is a South African product built for South African statutory reality rather than a global payroll with a local module bolted on, and the difference shows every February when the tax year changes. PAYE, UIF and SDL are maintained for you, the e@syFile export works, and the support team understands what you are asking without a translation layer. It posts the payroll journal into Xero and QuickBooks directly, which removes the monthly manual journal that causes most payroll to ledger differences. For most South African small employers this is the sensible default.
Closing judgement
What we said about each one
Sage HR
A tidy HR layer for a growing team that has outgrown leave spreadsheets. Only worth buying if the integration with your actual payroll is clean, so test that before committing.

SimplePay
The default recommendation for South African small business payroll, and the one most local bookkeepers reach for first. Nothing about it is flashy, which is exactly right for payroll.
