The decision in plain language
Sage Accounting is compelling for businesses that value a familiar local ecosystem. Xero stands out for collaboration and connected apps. Start with the adviser and workflow your team already trusts.
The short answer
What the record adds up to
- Sage Accounting scores 8.3 and Xero scores 8.4. That is close enough to be a tie, so the decision rests on the detail below rather than the headline.
- Sage Accounting is ahead on support and skills and south african fit.
- Xero is ahead on everyday use and depth of features.
- Sage Accounting has the cheaper entry price, and over three years at the standing rate the gap is about R7.6k before VAT, add on modules or extra users.
- On South African fit Sage Accounting is the stronger of the two. VAT201 reporting and local bank feeds are native rather than adapted.
Scored side by side
Where the difference actually sits
| Dimension | Sage Accounting | Xero | Our view |
|---|---|---|---|
| Overall | 8.3 | 8.4 | Line ball |
| Everyday useXero: The best reconciliation screen in this bracket, and the rules learn fast. | 8.6 | 9.2 | Xero |
| Depth of featuresXero: Broad, though several gaps are filled by paid apps rather than natively. | 7.4 | 8.4 | Xero |
| Value for moneySage Accounting: Honest headline, but extra users, companies and modules are all billed on top. | 7.8 | 7.9 | Line ball |
| Support and skillsSage Accounting: The largest pool of South African bookkeepers and partners of any cloud ledger. | 8.8 | 8.6 | Sage Accounting |
| South African fitSage Accounting: VAT201 reporting and local bank feeds are native rather than adapted. | 9.0 | 7.8 | Sage Accounting |
Every score is our editorial judgement and the reasoning sits in the full review. A gap under two tenths is called line ball, because it is not a difference worth acting on.

Read off each vendor pricing page, Sage Accounting on 25 August 2026 and Xero on 25 August 2026. VAT, add on modules and extra users are excluded because they depend on your own configuration.
Sage Accounting
Start is R240 a month including VAT for one user and Standard is R435 including VAT for two users and one company. The headline is honest, but the add on list is where budgets move. Extra users, extra companies, advanced inventory, debtors management and time tracking are each billed on top, and several are things a growing business assumes are included. Price the configuration you will run in month twelve, not the one you sign up for in month one.
Xero
Starter is R450 a month, Standard R795 and Premium R1 095, with 80 percent off for the first three months. The introductory discount is generous enough to distort a trial decision, so plan against the standing price. The bigger number to model is the total stack. Xero plus a South African payroll plus a document capture tool is a realistic monthly cost, and the plan limits on Starter are tight enough that most growing businesses move up.
Capability
What each one actually does
The capabilities we tested in each review, written out rather than reduced to ticks in a grid. A tick tells you a feature exists. It does not tell you whether it is any good.
Sage Accounting
- Invoicing and quotes
- Quotes convert to invoices without re keying, and recurring invoices handle retainer billing. Layouts are configurable enough to carry your VAT number and banking details correctly.
- Bank reconciliation
- Feeds from the major local banks reduce reconciliation to reviewing suggested matches. Check your specific bank and account type during the trial, because feed coverage is not uniform.
- VAT reporting
- VAT is tracked per transaction and reported in a format that maps onto a VAT201 without a spreadsheet in the middle. Confirm your VAT category is handled before your first submission.
- AutoEntry capture
- Photographs of supplier invoices and slips are read and posted, which removes most manual capture. It is billed as a separate credit bundle, so factor that in.
- Adviser access
- Your accountant gets their own login rather than sharing yours. That single detail is what makes month end collaboration workable instead of a monthly export.
Xero
- Bank reconciliation
- The reconciliation screen is the best in this bracket. Rules learn your recurring transactions quickly, and a month of capture collapses into an afternoon once they are set.
- Invoicing and quotes
- Online invoices show the client when they were viewed and take card payment if you connect a gateway, which measurably shortens debtor days.
- Reporting
- Reports are built from a flexible layout editor rather than fixed templates, so management packs can be shaped once and reused every month.
- App marketplace
- Several hundred integrations, including local payroll and payment tools. This is the practical reason Xero survives requirements it does not meet natively.
- Just Ask Xero
- The assistant drafts invoices and answers questions about your ledger in plain language. Useful for quick lookups, not a substitute for knowing your numbers.

Getting it running
Setup, and who answers when it breaks
Sage Accounting
What it takes to start
Setup is a day for a clean start and a week if you are migrating. Sage imports a customer, supplier and chart of accounts list from CSV, and most bookkeepers do the opening balances by journal rather than importing history. The part that takes longest is the bank feed, because each account is authorised separately through your bank and one of them will usually need a phone call.
When something breaks
You get online support and a partner network, and the partner network is the real answer. Because so many local practices work in Sage, the fastest fix is often your own accountant rather than a support ticket. Telephone support exists on the paid plans. Check which support route your specific plan includes, because it is not uniform.
Xero
What it takes to start
A straightforward migration if you are coming from another cloud ledger, and a longer one from desktop. Xero imports contacts and the chart of accounts from CSV and offers conversion tooling for common products. Budget the real time for bank rules rather than the import, because reconciliation only becomes fast once the rules are trained, and that is two or three cycles.
When something breaks
Support is online only. There is no telephone number, and for some finance teams that is a genuine objection. In practice the documentation is very good and the adviser community fills the gap, so the practical experience is better than the policy sounds. If you want somebody to phone, budget for a Xero partner.
Strengths and limits
Where each one gives ground
Sage Accounting
- VAT is tracked per transaction and reports out in a shape that maps onto a VAT201
- Your accountant gets their own login, so month end is collaboration rather than an export
- More South African bookkeepers know Sage than any other cloud ledger, which lowers your monthly processing cost
- Advanced inventory, debtors management and time tracking are each billed on top of the plan
- Standard covers two users and one company, so a third user or a second entity changes the price
- Stock across more than one warehouse pushes you towards Evolution sooner than the sales conversation suggests
Xero
- The reconciliation screen is the fastest of the cloud ledgers once bank rules are trained
- Report layouts are editable, so a management pack can be built once and reused every month
- A very large local adviser community, which makes finding a Xero literate accountant easy
- There is no South African payroll, so you will run and pay for a second product alongside it
- The 80 percent introductory discount makes the first three months a poor guide to the real cost
- Starter plan limits on invoices and bills are tight enough that most businesses move up within a year
Local view
How each one behaves in South Africa
Sage Accounting
Sage has been selling accounting software in South Africa for decades and the consequence is a labour market rather than a feature. You can hire a bookkeeper who already knows it, and you can change accountants without changing systems. The VAT201 handling and the local bank feeds are built for this market rather than localised afterwards. Two things to confirm before you sign. Check that your specific bank and account type has a working feed, because coverage is not uniform across the local banks. Then price the add on modules you will actually need, because the R240 headline covers one user and very little else.
Xero
Xero works well here but it is not a South African product and the gaps show in two places. It ships no local payroll, so budget for SimplePay or a bureau on top from day one. Bank feed coverage varies by bank and by account type, and a missing feed removes most of the reason to buy Xero, so test your own accounts during the trial rather than trusting the marketing list. The adviser community is genuinely deep locally, which is the strongest practical argument for it. Price the whole stack, because Xero plus payroll plus document capture is the real monthly number.
Closing judgement
What we said about each one
Sage Accounting
A sound choice for a South African service business that wants clean books, a real bank feed and an accountant who can log in. Look elsewhere if stock, manufacturing or job costing are central to how you make money.

Xero
The strongest everyday experience of the cloud ledgers, and an easy recommendation when your accountant already works in it. Budget for the connected apps, because Xero on its own is not the whole system.
