The short answer

What the record adds up to

  • CaseWare Working Papers scores higher overall, 8.7 against 8.4. The reason behind a point of difference matters more than the point itself.
  • CaseWare Working Papers is ahead on depth of features, value for money, support and skills and south african fit.
  • Xero is ahead on everyday use.
  • CaseWare Working Papers is not published on a basis that can be set beside the other price, so the two cannot be subtracted honestly. Read the plan notes instead.
  • On South African fit CaseWare Working Papers is the stronger of the two. Templates maintained against local reporting frameworks.

CaseWare Working Papers

Quoted per user per year by CaseWare Africa, with practice licensing scaled to the size of the firm. The only sensible way to judge it is cost per set of annual financial statements produced. Work that out on your actual annual volume rather than on the licence figure. Also confirm what the annual template update costs and whether it is included, because the templates are the reason you are buying.

Xero

Starter is R450 a month, Standard R795 and Premium R1 095, with 80 percent off for the first three months. The introductory discount is generous enough to distort a trial decision, so plan against the standing price. The bigger number to model is the total stack. Xero plus a South African payroll plus a document capture tool is a realistic monthly cost, and the plan limits on Starter are tight enough that most growing businesses move up.

Capability

What each one actually does

The capabilities we tested in each review, written out rather than reduced to ticks in a grid. A tick tells you a feature exists. It does not tell you whether it is any good.

CaseWare Working Papers

Working papers and review notes
A structured file with review notes, sign off and a proper audit trail, which is what makes a file defensible when it is inspected.
Annual financial statement templates
Statement templates maintained against local reporting frameworks and updated as those frameworks change, which is the core of the value.
Trial balance import from local ledgers
Imports directly from the ledgers South African practices actually encounter, including Pastel and the cloud products, without manual capture.
Consolidations
Group consolidation with elimination entries handled inside the file rather than in a spreadsheet that nobody can review properly.
Audit and assurance modules
Methodology aligned working papers for practices doing assurance work, sold alongside the compilation product.

Xero

Bank reconciliation
The reconciliation screen is the best in this bracket. Rules learn your recurring transactions quickly, and a month of capture collapses into an afternoon once they are set.
Invoicing and quotes
Online invoices show the client when they were viewed and take card payment if you connect a gateway, which measurably shortens debtor days.
Reporting
Reports are built from a flexible layout editor rather than fixed templates, so management packs can be shaped once and reused every month.
App marketplace
Several hundred integrations, including local payroll and payment tools. This is the practical reason Xero survives requirements it does not meet natively.
Just Ask Xero
The assistant drafts invoices and answers questions about your ledger in plain language. Useful for quick lookups, not a substitute for knowing your numbers.

Getting it running

Setup, and who answers when it breaks

CaseWare Working Papers

What it takes to start

Practice software, so the implementation is a firm wide decision. Templates are installed, the trial balance import is mapped to your ledgers, and reviewers are trained on the file structure. Expect a learning curve for a new reviewer and plan the rollout around your busy season rather than through it.

When something breaks

CaseWare Africa provides support and structured training, and the annual template update is the critical dependency. Confirm what the update costs and when it ships, because a compilation season without the current templates is not a workable position for a practice.

Xero

What it takes to start

A straightforward migration if you are coming from another cloud ledger, and a longer one from desktop. Xero imports contacts and the chart of accounts from CSV and offers conversion tooling for common products. Budget the real time for bank rules rather than the import, because reconciliation only becomes fast once the rules are trained, and that is two or three cycles.

When something breaks

Support is online only. There is no telephone number, and for some finance teams that is a genuine objection. In practice the documentation is very good and the adviser community fills the gap, so the practical experience is better than the policy sounds. If you want somebody to phone, budget for a Xero partner.

Strengths and limits

Where each one gives ground

CaseWare Working Papers

  • Financial statement templates maintained against local reporting standards
  • Enormous time saving on annual compilation work at volume
  • Deep integration with the ledgers South African practices actually use
  • Priced and scoped for practices, not for a single business
  • There is a real learning curve for a new reviewer
  • You are tied to the annual template update cycle

Xero

  • The reconciliation screen is the fastest of the cloud ledgers once bank rules are trained
  • Report layouts are editable, so a management pack can be built once and reused every month
  • A very large local adviser community, which makes finding a Xero literate accountant easy
  • There is no South African payroll, so you will run and pay for a second product alongside it
  • The 80 percent introductory discount makes the first three months a poor guide to the real cost
  • Starter plan limits on invoices and bills are tight enough that most businesses move up within a year

Local view

How each one behaves in South Africa

CaseWare Working Papers

If you run a practice in South Africa this is close to unavoidable, and that is mostly a compliment. The value sits in templates kept current with local reporting frameworks so that a compilation does not become a formatting exercise. Cost only makes sense per financial statement produced, so work it out on your actual annual volume.

Xero

Xero works well here but it is not a South African product and the gaps show in two places. It ships no local payroll, so budget for SimplePay or a bureau on top from day one. Bank feed coverage varies by bank and by account type, and a missing feed removes most of the reason to buy Xero, so test your own accounts during the trial rather than trusting the marketing list. The adviser community is genuinely deep locally, which is the strongest practical argument for it. Price the whole stack, because Xero plus payroll plus document capture is the real monthly number.

Closing judgement

What we said about each one

CaseWare Working Papers

Effectively unavoidable for a South African accounting practice producing statements at volume, and mostly deservedly so. It makes no sense at all for a single business keeping its own books.

Xero

The strongest everyday experience of the cloud ledgers, and an easy recommendation when your accountant already works in it. Budget for the connected apps, because Xero on its own is not the whole system.
