The short answer

What the record adds up to

  • SYSPRO scores higher overall, 8.6 against 8.2. The reason behind a point of difference matters more than the point itself.
  • SYSPRO is ahead on depth of features, value for money and south african fit.
  • Sage 200 Evolution and SYSPRO are not published on a basis that can be set beside the other price, so the two cannot be subtracted honestly. Read the plan notes instead.
  • On South African fit SYSPRO is the stronger of the two. Founded here and still substantially operated here.

Sage 200 Evolution

Quoted by a Sage business partner. The quote combines licence, modules, implementation, data migration and annual cover, and those components are worth separating before you compare anything. Ask for three reference customers in your own industry and phone all three. Ask specifically about the annual cover cost in year two and about what customisation you are being sold, because heavy customisation is what makes later upgrades painful and expensive.

SYSPRO

Quoted after a scoping exercise. Licence, implementation, data migration and annual maintenance are separate components and should be separated in the quote. Budget realistically for internal time as well as consulting fees, because an ERP implementation consumes a great deal of your own people. Ask for a phased plan with defined go live stages rather than a single large cutover, and get the annual maintenance percentage in writing.

Capability

What each one actually does

The capabilities we tested in each review, written out rather than reduced to ticks in a grid. A tick tells you a feature exists. It does not tell you whether it is any good.

Sage 200 Evolution

Inventory and warehouse management
Multi warehouse stock with serial and lot tracking, bin locations and stock takes, which is the core reason distributors move here from Pastel.
Advanced pricing and discount matrices
Customer specific pricing, volume breaks and promotions handled by rules rather than by a sales clerk remembering what each customer pays.
Manufacturing and bill of materials
Multi level bills of material with work orders and production costing, enough for light manufacturing without a dedicated manufacturing ERP.
Multi branch and multi currency
Several branches and currencies in one system with consolidated reporting, which suits groups that grew by opening locations.
Business intelligence reporting
Reporting built for finance rather than for developers, with the drill down that makes a monthly management pack defensible.

SYSPRO

Material requirements planning
Demand driven planning across bills of material and lead times, which is the function that stops a factory running out mid production.
Shop floor and work order control
Work orders tracked through operations with labour and machine time captured, so production cost is known rather than estimated at month end.
Lot traceability and serial tracking
Full forward and backward traceability, a regulatory requirement in food and pharmaceutical manufacturing rather than a nice extra.
Warehouse and distribution management
Bin level control, picking strategies and dispatch, aimed at operations where warehouse efficiency is a real cost line.
Costing and factory scheduling
Standard and actual costing with finite capacity scheduling, so a promised delivery date is based on capacity rather than optimism.

Getting it running

Setup, and who answers when it breaks

Sage 200 Evolution

What it takes to start

A partner led implementation of several weeks or more depending on modules. Inventory structure, pricing matrices and branch configuration are the substantial decisions. Data migration from Pastel is common and well trodden, which lowers the risk if you are moving up from that product rather than arriving from elsewhere.

When something breaks

Partner led, and the partner is the whole experience. The local ecosystem is deep, so help is available, but quality varies widely between resellers. Take references in your own industry, ask what the annual cover costs in year two, and confirm who supports the customisations they sell you.

SYSPRO

What it takes to start

A serious multi month ERP project. Scoping, data migration, process design, testing and training all sit inside it, and internal time is as large a cost as consulting fees. Insist on a phased plan with defined go live stages rather than a single large cutover, and resist customisation that you cannot justify in writing.

When something breaks

Local offices and senior local support, which is the differentiator against imported ERP. When a production line is waiting, being able to escalate to somebody in the same time zone is the difference between an afternoon and a week. Confirm the maintenance percentage and what it entitles you to.

Strengths and limits

Where each one gives ground

Sage 200 Evolution

  • Strong inventory, pricing and warehouse control for distribution
  • A deep local partner and add on ecosystem
  • Grows with modules rather than forcing a replatform
  • The quality of the outcome depends heavily on which partner you pick
  • Customisation can make later upgrades harder
  • No public pricing, so comparison shopping takes effort

SYSPRO

  • Manufacturing depth that general purpose ERP products do not match
  • Founded and headquartered locally, with senior local support
  • Works on premise for operations that will not put production data offshore
  • An implementation is a serious multi month project
  • Cost is meaningful and only appears through a scoping exercise
  • Wrong fit for a business that is not making or moving physical goods

Local view

How each one behaves in South Africa

Sage 200 Evolution

Evolution is genuinely common in South African distribution and light manufacturing, and the local skills pool is deep. The single biggest variable is your implementation partner. Ask for three reference sites in your own industry, phone all three, and make sure the quote separates licence, implementation, data migration and annual cover.

SYSPRO

SYSPRO started in South Africa and still runs a substantial local operation, which means senior help is in the same time zone when a production line is waiting. That is a genuine differentiator against imported ERP. Scope carefully, insist on a phased plan, and budget for internal time as well as consulting fees.

Closing judgement

What we said about each one

Sage 200 Evolution

A sound mid market choice for South African distributors and light manufacturers. Choose the partner at least as carefully as the software, because the partner determines the result.

SYSPRO

A serious and well supported choice for South African manufacturers and distributors, with local senior support as its clearest advantage. Not a general purpose business system and it does not pretend to be.
